Overview
CivicBound's document management system provides a secure, organized hub for all your LAFCO documents. Built on enterprise cloud storage with redundant backups across multiple geographic locations, your documents are protected against data loss and always accessible when you need them. Documents can be attached to applications, meetings, agencies, or any other module in the system—creating a complete information trail throughout the application lifecycle. Every document is categorized by type (resolutions, environmental documents, staff reports, maps, correspondence, etc.), tagged with metadata, and stored with complete audit information. The system goes beyond simple storage with intelligent features like template-based generation for standard notices and letters and secure isolation ensuring each LAFCO's documents remain completely private.
Use Cases
Application Document Checklist: When an application is submitted, staff can quickly verify that all required documents are present—resolution of application, plan for services, CEQA documents, boundary maps, legal descriptions, and tax-sharing agreements, etc. The system tracks which documents have been uploaded and flags missing items for follow-up.
Correspondence Management: Track all incoming and outgoing letters with agencies and interested parties. When you receive comments from the County Assessor or responses from affected districts, upload them to that application.
Public Records Requests: Fulfill California Public Records Act requests by locating documents attached to specific applications. Filter by document type and date range to find relevant materials. Export complete application document sets with organized folder structure.
